This policy explains how Ninja Tuna Design handles personal information when you visit ninjatuna.ca, send an enquiry or book a website review.
Who is responsible for your information
Ninja Tuna Design is operated by Paul Dixon in Truro, Nova Scotia. Paul manages the website hosting and is the contact for privacy questions. Email hello@ninjatuna.ca, call 506-977-2456, or write to Ninja Tuna Design, 2-631A Young St, Truro, NS B2N 3Y8.
Information you share with us
When you contact us, we collect the details you provide, such as your name, email address, business or website address, service interests and message. We use these details to understand your request, respond, discuss a potential project and manage the resulting business relationship. Please avoid sending passwords, payment-card details or sensitive personal information through an enquiry form.
Contact forms, email and SendFox
Our website uses WordPress forms to collect enquiries. Email is handled through Zoho. Submitting a website form triggers our SendFox integration, which sends contact information to SendFox for contact management and email follow-up. Enquiry information can also be present in website records and email correspondence.
If you receive marketing email through SendFox, use its unsubscribe link or email hello@ninjatuna.ca to ask us to stop. Unsubscribing from marketing does not prevent a direct reply to your enquiry or necessary communication about an active project. Disclosure of our use of SendFox in this policy is not itself consent to receive marketing email.
Website reviews and third-party services
Our website includes links to a TidyCal booking page for website reviews. If you follow that link and make a booking, the information you enter is processed by the booking service and used to arrange your appointment. Other external links take you to services that have their own privacy policies.
Zoho, SendFox, Google and booking services may process information outside Canada. Their processing locations and practices depend on the service and account configuration. Hosting managed by Ninja Tuna does not mean that information handled by those other services stays in Canada.
Analytics, cookies and technical information
The website uses Google Analytics to understand website use and improve its content and customer journeys. Analytics can collect information about pages viewed, interactions, device and browser characteristics, referral sources and identifiers, depending on its settings and the visitor’s browser controls. See Google’s privacy policy.
Cookies and similar technologies may be used for analytics and website functions. You can manage cookies through your browser settings. Blocking cookies can affect some functionality. Technical information, such as IP addresses and request details, may also be recorded by hosting or security systems to operate and protect the website.
How long information stays in our systems
There is currently no fixed automatic deletion schedule for enquiries. Information may remain in email, contact records, website records and backups until it is removed. Client records may also be needed for delivering services, accounting, resolving disputes or meeting applicable recordkeeping obligations.
You can contact hello@ninjatuna.ca to ask what information we hold or request that information no longer needed be removed. We will assess the request, including any applicable retention requirements and the way backup systems work.
Sharing and security
Information is handled through the services described above to operate the website, respond to enquiries and communicate with contacts. Information may also need to be disclosed where required by law. The website uses HTTPS for connections, but no website, email service or storage system can guarantee complete security.
Your choices and privacy requests
Contact Paul at hello@ninjatuna.ca to ask about access to your information, corrections, withdrawal of consent or removal of information. We may need to verify your identity before responding. We will explain any limitations that apply to your request. You can also contact us with a privacy concern or complaint.
Changes to this policy
We will update this page when our practices change and show the revision date above. Where a new use of information requires additional consent, publishing an updated policy does not replace obtaining that consent.
